Job Title: Administrative Specialist - IDD

Location: Brazoria and Galveston Counties

FLSA Status: Non-Exempt

Working Status: Full Time with Benefits

Summary:

Responsible for work functions critical to the office Revenue Cycle Management process

To provide specialized administrative and operational support to the Intellectual & Developmental Disabilities Waiver Service Coordination programs

Assist in assuring efficient flow of program operations

Knowledge of Central Call Center, Scheduling, Patient & Benefit Eligibility Services as it relates to the Revenue Cycle Management model

Proficient in maneuvering in Center's Electronic Health Record (SmartCare) computer application

Knowledge of all Center programs and its operations

Responsible for Center fleet vehicle maintenance and logs of use.

Job Duties: (To be performed with or without accommodation as based on ADA requirements)

The Administrative Specialist - IDD will be responsible for the following:

Essential Job Duties:

  • Performs administrative and operational support to the Intellectual & Developmental Disabilities Waiver Service Coordination programs inclusive of reception, phones, faxing and mail sorting. 
  • When directed, develop/print requested reports from SmartCare EHR system as requested by Program Manager
  • Assigned vehicle custodian responsible for completion of monthly vehicle reports to be turned in to the Center's Asset Coordinator
  • Prepares Vehicle Packets & Maintenance documentation in support of unit staff
  • Schedules and drives vehicles to maintenance appointments and car washes.
  • HCS & TXHML interest list calls, forms, contacts and data entry
  • Chart filing waiver service coordination units, including purging closed charts
  • Functions as the back-up for the duties of the IDD LC West Program Assistant to complete support duties in their absence for HHSC utilization review faxes, preparing audit documents, and maintaining spreadsheets for waiver programs
  • Construct and maintain databases and filing systems as requested
  • Will be knowledgeable of applicable aspects of current contracts and ensure adherence to contract requirements as they apply to your duties
  • Verify and process vendor invoices in accordance with Center policy and submit to Finance Department for processing
  • Collect client service information from various sources and providers inside and outside of the Center
  • Develop and supply printed materials to programs upon request
  • Attend staff meetings as required
  • Will be responsible and accountable for the adherence to and promotion of the agency compliance policy and will require communication with various departments to foster, develop and continue our community partnerships as it relates to the position.

  • Provide highest level of Customer Service for both internal and external customers.

  • Consistent adherence to the Center's Dress Code.
  • Consistent adherence to Center safety guidelines and expectations.
  • May be required to travel within Brazoria and Galveston Counties.
  • Out of region travel may be required to attend trainings.
  • Must maintain a clear driving record and driver's license in accordance with our Driver Policy.
  • Requires current Texas Driver's License, reliable transportation and must maintain current auto liability insurance.

Required Education:

  • High School Diploma

Preferred Education/Licensure/Certifications:

  • Associates degree or some college

Required Licensure/Certifications:

Required Experience:

  • Minimum of 5 years experience in the office or clerical field. 

Preferred Experience:

  • Some paid work experience in a social services agency working with developmental disabilities

Abilities/Traits:

  • Proficiency in all phases of office/clerical work. Knowledge of current office equipment and their utilization
  • Ability to understand and use the Center's internal messaging and email systems
  • Ability to access and competently work in SmartCare/Streamline software and other basic computer applications 
  • Good interpersonal skills 
  • Demonstrated ability to function as a member of a work team
  • Ability to establish a cooperative working relationship with co-workers, employers and representatives from other agencies.  Must have mature problem solving approach to daily work 
  • Ability to express self clearly and effectively, orally and in writing.
  • Requires ability to work within a team approach.
  • Requires proficiency with computer skills, programs and email.

Working Conditions:

  • Work will be performed in the Office setting.
  • May require varied work hours depending on need of clients.
  • Out of region travel may be required to attend trainings.
  • May require travel to various locations within Brazoria and Galveston Counties. Requires current Texas Driver's License, reliable transportation safe and current with all state requirements, and liability insurance.

Special Projects:

  • Assist supervisor when requested to complete special projects and complete all assignments within a time frame negotiated with the supervisor. Completion of other duties as assigned by supervisor as it relates to the program and position.
